3. How We Use Your Information

We use collected information to:

• Provide, operate, and improve the FirstRing™ service
• Answer incoming calls and route them on behalf of Client businesses
• Generate call transcripts, summaries, and job reports for Clients
• Send appointment confirmations and SMS notifications
• Process billing and manage Client accounts
• Communicate with Clients about their service
• Comply with legal obligations
• Improve our AI models and service quality (using anonymized/aggregated data only)

We do not sell your personal information to third parties. We do not use End User data for advertising purposes.

4. Call Recording Disclosure

FirstRing™ records calls handled by our AI dispatcher. By using our service, Business Clients agree to:

• Notify callers that their call may be recorded, as required by applicable law
• Obtain any necessary consent for recording under state and federal wiretapping laws
• Include appropriate disclosures in their on-hold messages or IVR prompts

Call recordings and transcripts are retained for up to 90 days by default and may be deleted upon Client request. Clients may access their call recordings through their account dashboard.

5. How We Share Information

We may share information with:

• Service providers — third-party vendors who help us deliver our service (e.g., telephony providers, cloud infrastructure, AI processing). These vendors are contractually bound to protect your data and may only use it to provide services to us.
• Business Clients — End User call data (recordings, transcripts, contact info) is shared with the Client business on whose behalf the call was handled.
• Legal requirements — We may disclose information when required by law, court order, or government request.
• Business transfers — In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction.

We do not share your information with third parties for their own marketing purposes.

6. Data Security

We implement industry-standard security measures to protect your information, including:

• Encryption of data in transit (TLS/HTTPS) and at rest
• Access controls limiting data access to authorized personnel only
• Regular security assessments and monitoring
• Secure cloud infrastructure with reputable providers

No method of transmission over the internet is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security. In the event of a data breach that affects your rights, we will notify you as required by applicable law.

7. Data Retention

We retain data for as long as necessary to provide our services and comply with legal obligations:

• Call recordings and transcripts: 90 days (or per Client agreement)
• Account data: Duration of service plus 3 years after termination
• Billing records: 7 years (legal/tax requirements)
• Website analytics: 24 months

Our outbound calling services are operated in compliance with the TCPA and FTC regulations. Business Clients are responsible for ensuring they have appropriate consent to contact individuals using our platform. We do not place calls to numbers on the National Do Not Call Registry on our own behalf, and we require Clients to comply with all applicable calling consent requirements.

12. Changes to This Policy

We may update this Privacy Policy periodically. We will notify Business Clients of material changes via email. The "Last Updated" date at the top of this page reflects the most recent revision. Continued use of our services after changes take effect constitutes acceptance of the revised policy.
